2.4 Preparing the Grade Sheet
Before Grading

By session 1 of your course, the Assessment team will provide you and the Course Administrator/Faculty Assistant with:

  1. the Canvas Gradebook user guide - please enter numerical scores into Canvas for all assessment components;
  2. the internal moderation form;
  3. the relevant assessment deadlines for the submission of:
    • main individual component for external examination (exam paper/assignment instructions) = required 15 working days before exam / hand-out date;
    • grading (for core courses: all exam scripts/electronic copies of assignments or take-home exams) = required 10 working days (12 days for EMBAD core/15 days for MBA core) after last relevant assessment activity;
    • internal moderation = required 5 working days after first grading submission deadline.
Using the Gradesheet

Faculty are responsible for awarding and entering all numerical scores and letter grades on the grade sheet.

Use only the Canvas Gradebook to record all numerical scores. Scores can be entered in the Canvas Gradebook manually or using the Speedgrader. Any scores recorded in another format will need to be transferred into Canvas, which can result in errors and may cause a delay in releasing grades.

Letter Graded Courses:

  1. Enter numerical scores into Canvas for all assessment components.
  2. Ensure that the ‘% weighting’ and ‘mark out of’ information is entered correctly for each assignment.
  3. Use the ‘Sync to Grade Report’ tool in the Canvas Gradebook to export the gradesheet as an Excel document.
  4. Canvas will automatically calculate the final numerical score and rank the students from highest to lowest on the Excel gradesheet. The final numerical score is calculated as the sum of ‘(score*weighting)*(100/mark out of)’ for every assessment component, using the information you have entered into Canvas for each assignment.
  5. Assignments that are grouped together in Canvas will be given an aggregate score and will appear as a single column in the Excel gradesheet. Therefore, it is essential that all assignments placed into the same group have the same ‘% weighting’ and ‘mark out of’.
  6. On worksheet 2 ‘Student and Assessment Data’ enter a letter grade for each student in the column labelled ‘Letter Grade’.
  7. The table on worksheet 3 ‘Letter Grade Statistics’ will help you allocate grades according to the distribution allowed by the Core grade curve for the class size. See Section 2.1 Using the Grade Curve for details on the grade curves to be used for Elective courses, and for the grading used on Global Experiential Courses. ±2% deviation is acceptable only if more than two students have the same numerical score to two decimal places.
  8. Remember that to pass a course students must achieve:
    • a minimum of 50% overall; and
    • a minimum of 50% across the weighted average of individual component/s excluding class participation; and
    • satisfy any attendance requirements if applicable

Elective Courses Only:

A DNS grade ('Did Not Study') must be awarded to any student who is registered on an elective but did not:

  1. attend any session of the elective; and
  2. submit any assignment for the elective (including pre-work).

Pass/Fail Courses:

  1. Enter "P" or "F" into the column labelled ‘Letter Grade’.
  2. Disregard the ‘final numerical score’ column.
When Grading is Completed

Once you have finished grading:

  1. Select 10% of the scripts to be internally moderated (see 2.6 Internal Moderation Process) by your nominated colleague (including one sample of all letter grades, all fails and all “borderline passes”, e.g. with score 50-52 out of 100).  When necessary, please select more than 10%.
  2. Mark on the grade sheet the students whose scripts will be internally moderated (please use the column called “Sample”)
  3. For core courses and electives selected to be externally examined, after copying the selected scripts for your internal moderator, send ASAP all the originals to the relevant person in the Assessment team.
  4. Send the scanned internal moderation form to the relevant person in the Assessment team.
